We are looking for an energetic, flexible, knowledgeable Administrative + Human Resources associate to support our Helsinki office and global admin operations. At Oivan, you’ll work with an expert team of Finance, HR, and Admin professionals to support our Helsinki office operations and 150+ head workforce with offices in 5 countries.

  • Expert in Microsoft 365. Experience with Zoho, Koho, + Atlassian suite a plus.
  • Multitasker with excellent self-management skills and ability to take initiative.
  • Fluency in Finnish and/or English is necessary for success.
  • More than your title. You are deeply committed to and have a vested interest in supporting and creating better outcomes for our people and our customers.


What You’ll Do

  • Keep Helsinki office in tip-top shape, well-stocked, tidy, and running smoothly.
  • Order technology for new employees, manage our technology inventory for Finland.
  • Coordinate with building management for maintenance issues.
  • Travel plans, visa procurement, and other travel-related matters. (We use TravelPerk).
  • Engage with vendors to procure various services and items for Oivan Group.
  • Plan and organize meetings and events (virtual and in-person).
  • Create comprehensive reports and data visualizations using Microsoft Office suite.
  • Assist with Administrative side of talent acquisition.
  • Support onboarding and offboarding coordination with key stakeholders as needed.
  • Data-driven research projects such as labor market benchmarking, eNPS, benefits, and compensation.
  • Support our Middle East Director of People + Operations with administrative and recruitment tasks as needed.
  • Facilitate weekly coffee chats and zoom lunches with our remote team during Covid.
  • Support Special Projects (DE+I initiative, Internal L+D department, Rehaboo health, and wellbeing, etc) with VP of People + Culture.
