Oivan partnered with the leading Saudi telecommunications provider to design and deploy a secure, self-hosted collaboration and file sharing platform that meets strict security, data sovereignty, and scalability requirements.
Oivan’s client is the leading telecommunications and digital services provider in the Kingdom of Saudi Arabia, offering a wide range of services to a vast customer base. As a key player in the nation’s digital transformation, the client required a robust collaboration solution that aligned with its stringent security standards and data governance policies.
Oivan designed and implemented a secure, self-hosted collaboration platform based on Nextcloud, built to meet enterprise-grade requirements for security, resilience, and scalability. The solution enables large-scale collaboration while ensuring full control over data and compliance with national security policies.
Key Capabilities
Secure, Self-Hosted Architecture
A high-availability, security-by-design architecture deployed on the client’s own infrastructure. The platform includes redundancy across all critical components—web servers, database clusters, and in-memory caching—to ensure performance, resilience, and reliability.
Scalable by Design
The platform was architected to scale seamlessly from initial deployment to support up to 20,000 users, ensuring long-term growth without architectural changes.
Enterprise System Integration
Seamless integration with existing enterprise systems for authentication, authorization, and monitoring, enabling centralized access control and operational visibility.
Advanced Collaboration Capabilities
The solution includes Nextcloud Files and Groupware for secure collaboration, along with Collabora Online to enable view-only access to sensitive documents within a controlled Virtual Data Room environment.
Implementation and Delivery
A 10-week implementation plan was outlined, covering information gathering, system deployment, integration, testing, and handover. Oivan’s experienced team worked in close cooperation with the client to deploy the platform, provide comprehensive documentation, and ensure a smooth transition. The scope included configuring the platform to meet client’s security standards, branding the web interface, and providing instructions for user-led migration from OneDrive. Following the initial deployment, Oivan has continued to provide the client with support and operational services.
The implementation successfully met all of the client’s key objectives, delivering a secure, scalable, and widely adopted collaboration platform.
The solution scaled from an initial 100-user pilot to over 10,000 active users, demonstrating strong adoption and the ability to grow with enterprise demand. By deploying a fully self-hosted platform, the client retained full data sovereignty, ensuring all data remains within the Kingdom of Saudi Arabia and complies with national data protection and cybersecurity requirements.
The platform enables secure and compliant collaboration for both internal and external users, supported by strong access controls and alignment with national cybersecurity standards. What began as a project has evolved into a long-term partnership, with Oivan continuing to provide operational support and ongoing enhancements.
This engagement demonstrates Oivan’s ability to deliver complex, secure, and scalable open-source solutions for large enterprise organizations in the telecommunications sector.
